hi everyone and welcome to our autodesk university class today we are going to be covering breaking down iso 19650 and document controller's guide to all of the stocks and my name is jacob westerwa hi everyone my name is caroline show hello everyone my name is maria sedon and as you can see we're all customer success managers within the auditor's construction solutions team thank you very much jacob for the introduction so before we start let's have a quick look to what you're going to learn today by the end of this class you'll have a clear understanding of how a city is defined in isu 19650 and also what are the benefits that we can obtain as a company or as a user when implementing a robust information management process you will have a clear view of the key factors and previous considerations that we need to keep in mind when adopting a city to ensure a successful adoption we will establish what a better collaboration looks like within a cd and also you'll have a full understanding of the tools and workflows available in out of the stocks when setting up a project cd lastly you'll have a clear view on what are the actions and responsibilities of our project stakeholders with the naming validation and review process and with that i'll pass it over to you caroline thanks maria in today's class we'll include a high level detail around the izone 19650 relating to the cde autodesk have produced a wealth of iso 19650 related material and resources which dive into the detail you can find this under the handouts section of this session you can also refer to the uk bim framework website where you can find lots of information and free guides on the iso 19650 okay so let's start by looking at what the common data environment is defined as in the iso 19650 part one an agreed source of information for any given project or asset for collecting managing and dismantling each information container through a managed process let's break it down into manageable chunks and look at what that definition actually means agreed source of information project stakeholders should agree on the use of the cde this is fundamental to ensure all stakeholders have bought into the cde process and understand what their role and deliverables are sort of information for project team members all project team members should have controlled access to project information within the cde accessing the latest information and minimizing abortive works associated with individuals using out-of-date information an existing asset or project can leverage a cde the provision of a common data environment is a fundamental principle to collaborative working on any project or any asset for collecting managing and dismantling a common data environment stores data captured and leveraged on every project storing data captured through a project or assets lifecycle for project members to consume the latest information an information container could be a file or data set information containers can be files or subsets which can be structured or unstructured structured information containers consist of geometric models schedules and databases and unstructured information containers could include documents photos videos and many more each information container can be uniquely identified including associated metadata each information container should have a unique id which follows the agreed project naming standard and associated attributes to detail the status code revision and classification a cde is an information repository with controlled access for project members assigning the relevant permissions to project members to control and make accessing information concise and to the task in hand and the latest version but the cde is not necessarily a single technology solution this can be several connected solutions capturing additional metadata for a single project to form a cde facilitates the ability to manage share and collaborate providing the right information at the right time for each project member manage process the common data environment workflow is a process breaking down that process into four key states whip shared published and archive and to move that information container from one state to another requires an approval review to facilitate that transition through each state the process is managed by an appointed information manager by the client the appointing party may choose to manage their own information or appoint a company to fulfill that role as information manager on their behalf the information manager is responsible for establishing the project's information requirements the information standards and the milestones for the information required by appointed parties containers can only transition to a new state such as whip to shared following reviews and approvals we mentioned this in the previous point overall what we can take from this definition is that the common data environment or the cde if considered or implemented from the outset of any project can provide a better way of controlling and managing information and reducing the risk of working on out-of-date information or information with the wrong intent so now we understand the definition of a cde let's think about what we need to consider for the effective adoption of a cde or a common data environment people process and technology let's start with people project team members with the right skill set are to be identified or trained from the outset of any project these individuals will be responsible for planning implementing and supporting the cde process managing a cde cannot be under-resourced or underestimated it is easily perceived that as the tasks involved are easy and repetitive are therefore given to an existing project member or as an additional responsibility to their role or someone with a shortage of the relevant experience and skills but having the right person or persons identified from the outset such as a document controller or document manager to configure and implement is key to achieving an effective cde and ultimately ensuring the successful adoption and collaboration of all project stakeholders the document controller or the elected person who is managing the cde for the project will also be responsible for training a wide range of users who need access or to approve information within the cde so their role is really fundamental the next success factor to consider is process a critical component of the cde is process or workflows and the reason the common data environments are so imperative to any project or asset getting the process right and the stakeholder agreement on a project is essential to getting the cde right the key elements of the cde process are as follows we assign metadata to each information container or the file facilitating the management of the process the metadata defines where the container is situated within its state transition in the review and approval process the next factor to consider is technology the technology is another fundamental part of the cde the technology needs to be simplistic with intuitive user interface for users to adopt but also provide a power

smith so brief introduction here so again my name is scott burke i'm the aec cloud solutions program manager here at imagine it so i work with our teams in relation to the auditors bim 360 and unified platform tools which both come under the main moniker there of autodesk construction cloud the autodesk construction cloud is all the autodesk bim 360 and unifi platform tools and my background is architecture engineering structure and some construction as well i've been working in the industry both as in the real world working as an architect and working as a reseller for the past 20 years and jeremy if you want to go ahead and introduce yourself sure thank you scott my name is jeremy smith and i currently serve as a senior technical support specialist in our solution center primarily support our building products primarily revit and of course bim 360 platform and the services that go along with that my background i started in the industry at an engineering firm mep engineering firm cut my teeth from cad way back in the 90s worked at autodesk for a time supporting revit revit mep and eventually managed and oversaw the revit support team and the vault support teams and i'm back here at imagine it for actually the second time i was here back in 2004 so again thank you for joining us and happy to be with you today thanks all right so again today's topic is of course autodesk docs not to be confused with bim360 docs which is a separate product and still of course available so today what are the challenges that we're overcoming or trying to overcome in our work environments well and these are the things that bim 360 or autodesk docs i should say basically helps solve which is providing a common data environment for everyone to work in so everyone keeps all their work in one single place a single source of truth of course we also have ways to manage issues within that environment and also ways we're just doing continuous collaboration here that's exactly what this is all about so with bin 360 docs it's facilitating here connected teams now we have all these teams different companies different places wherever geographically we're all in a common place we're all connected together and that's really what ultimately what all of this is about and that of course leads into connected workflow so we can create workflows in these cloud solutions and especially autodesk docs has the ability to create reviews and transmittals and things like that and markups and issue management all those things are kind of those connected workflows there and again that keeps all the data connected in one single place and again that's what this is ultimately about is that connected environment so with the bim 360 or autodesk products now that are now available so the bim 360 in 360 docs of course is still available as is um bim 360 build those are still viable available products bim 360 model coordination and bim 360 design have been renamed those are the only two products actually that have been renamed the rest of the products are still their original names so model coordination bim 360 model coordination became been 360 collaborate and bim 360 design became autodesk bim collaborate pro and then we have two new products here which is autodesk takeoff and autodesk build these are two brand new products here and again the foundation though for all of these tools just like with the bim 360 environment is autodesk docs that is the foundation document management tool for all of the unified unified platform the autodesk cloud construction cloud tools the unified platform as it's now called is still centered on autodesk docs is that foundational document management system and then you purchase the other tools based on what your specific needs are so we got collaborate clash detection we got collaborate pro for revit work sharing in the cloud and it includes the clash detection we have autodesk takeoff for doing quantification of your models or your 2d files um and then we have autodesk build for basically in the field construction management but when we look at autodesk docs what's also unique here is it comes with these other tools so if you have the other higher level tools it simply comes with docs also if you have an aec collection license then you get with it now just like you get autocad and revit and all the other ac um tools and civil 3d and so on you now also get autodesk docs as part of that entitlement and that's actually the only way to get autodesk docs by itself is via the the aac collection so you cannot buy it separately and it's tied to that license it isn't like you have a floating license of docs that means the same license that you use to access your revit with your ac collection is the same license you use to access autodesk docs so autodesk stocks as we're already mentioning here is that centralized document management system for the entire project lifecycle whether it's just the docs level where you're just sharing files markups issues and such it also becomes a foundational area to keep all of your design documents autocad revit and so forth civil 3d plant 3d even can all live in this environment and then of course it has document control versioning for all the different file types regardless of the file type that you put up there um it's going to be versioned you have revit and autocad publishing meaning that you can use this tool as a universal viewer for many those two file types and many others of course comparison tools that are built in there as well approval workflows issues and markups reporting and analytics so jeremy's going to talk about most of that and as i mentioned before it's included in all the other subscriptions whether it be the aac collection subscription now or if you subscribe to bim collaborate pro take off or build docs is the foundation to that so again that's what we're talking about today of course is autodesk docs so again autodesk docs is all about document control document version and document approvals those are kind of some of the key functions and now i'm going to hand this over to jeremy he's going to kind of go into a deeper dive into the actual product here and show it in action so i'm going to change jeremy over to the presenter all right jeremy you can go ahead and present thank you scott appreciate that just want to confirm you can see my uh my screen now yes i'm assuming we're good all right excellent so as scott mentioned uh autodesk docs um provides that that common data environment we're gonna just talk about what what some specific features of autodesk docs and how it facilitates communication accountability uh across a project and we'll do that by kind of going uh through about nine features or so and just briefly doing an overview we'll have some time for questions at the end if there's anything that kind of went a little too quick for you but uh hopefully this gives you a a good idea of of what's included here so let's start with the document management and as i pointed out it's a common data environment and so with autodesk docs it enables the administrator to set up a site and to host projects to set
